Getting started
What PopParadise is, who it is for, and what happens in the five minutes it takes to launch.
What is PopParadise?
PopParadise is an online fundraising platform built around handcrafted gourmet popcorn. You create a fundraiser page in about five minutes, share your link, and your supporters buy popcorn that ships straight to their door. You keep 50% of the popcorn sold. No minimums, no setup fees, no inventory, no cash to collect, and nothing to deliver.
Who can run a PopParadise fundraiser?
Anyone with a goal: sports teams and clubs, elementary schools, PTOs and PTAs, churches and youth groups, charities and non-profits, performing arts programs, and individuals raising money for themselves or someone they love (tuition, a trip, medical bills, a family in need). Anyone under 18 must have permission and involvement from a parent or guardian to access and use the site.
What kinds of fundraisers can I launch?
There are three options when you click Get Started:
- Individual Fundraiser. One personal page for you or your cause. Use the Invite Wizard to rally support by email, text, and social media, plus an auto-generated QR code flyer.
- Charity Fundraiser. The same single-page setup, for a specific charity, non-profit, special event, or philanthropic cause.
- Team or Group Fundraiser. Your team members each get their own page and goal, all rolling up to one group total. You pick a launch style: Participant Style (members are old enough to have a phone and enter their own contacts) or Parent Style (parents join and add their kids, best for elementary schools and youth sports). See Team & group.
How long does setup take?
About five minutes. You will enter a fundraiser name, a short story about what you are raising money for, a start date, a goal, and a category (for example, Soccer Camp or Classroom Supplies). Team fundraisers also pick a launch style and search for your organization by state (you can add a new one if it is not listed). The last step collects the organizer's contact info so we know where to send your check.
What should I have ready before I start?
A photo or logo for your page, a 15-second video explaining why you are raising money (optional, but it works), a realistic goal, and your mailing address for the check. For team fundraisers, have your roster or participant list handy so you can invite everyone the moment you launch.
How long does a fundraiser run?
Ten days by default. The end date is set automatically to 10 days after your start date, and you can change it in Edit Campaign. We recommend keeping it short: a focused 10-to-14-day push raises more than a fundraiser that drags on, because urgency drives sharing and buying.
Can I change my fundraiser after I launch?
Yes. Open your dashboard and click Edit Campaign to update the title, dates, story, goal, category, photo, video, subgroups, corporate sponsor logos, and contact info. Two things lock after setup: your fundraiser type and launch style, and your payout method.
Do I need to buy or stock any popcorn?
No. Supporters order through your page, PopParadise ships every order directly to them, and you never touch product, cash, or checks.
Is there any cost to use PopParadise?
No. There are no setup fees, no minimums, and no hidden charges. PopParadise is paid from the sale itself: you keep 50% of popcorn sold and we cover the popcorn, packaging, payment processing, and technology with the rest.
Money: what you keep and how you get paid
50% of popcorn sold, 90% of donations, one check after your fundraiser ends.
How much of each sale do we keep?
50% of popcorn sold and 90% of every straight donation. Those percentages are calculated on the product and donation amounts; shipping and sales tax paid by the supporter are separate and are not part of the split either way.
Are there any fees taken out of my check?
No. There are no setup fees, no processing fees, and no handling fees taken from your share. Your dashboard shows the total your supporters spent; your check is 50% of the popcorn sold plus 90% of donations.
Can supporters donate without buying popcorn?
Yes. Every fundraiser page has a Just Donate button, and every popcorn checkout offers the chance to add a donation ($50, $125, $250, $500, or a custom amount). You keep 90% of donations.
How and when do we get paid?
By check. Your check is made out to the payee name you entered during setup and mailed to the organizer's contact address within 2 business days after your fundraiser ends.
To update your payout check information: Go to Edit Campaign on your fundraiser and update the Check Payable To name and/or the Mailing Address.
Important: These updates must be completed within 24 hours after your fundraiser ends so the correct information is used before the check is printed.
Can we get paid early or in installments?
No. One check, after the end date. If you need funds sooner, shorten your end date in Edit Campaign.
My check has not arrived. What should I do?
First check with your school office, mailroom, bookkeeper, or treasurer, since checks for organizations are often routed there. If it has been more than 10 business days since your fundraiser ended, email support@pop-paradise.com with your fundraiser name and ID (shown on your dashboard) and we will trace or reissue it.
Are popcorn purchases or donations tax-deductible?
Popcorn purchases are generally not tax deductible. For donations, it depends on your organization and the type of transaction, so please consult a tax professional. PopParadise does not provide tax advice.
Can we add prizes or incentives for participants?
Yes, and we recommend it for youth groups and elementary schools. Prizes come out of your proceeds, so plan for roughly 1% of your goal in small rewards tied to sharing (not dollars raised). See the launch playbooks for ideas that work.
What about corporate sponsors?
Local businesses can sponsor your fundraiser directly from your page with a minimum sponsorship of $250. Sponsors who give at that level get their logo displayed on your fundraiser page, and you can also add sponsor logos yourself under Edit Campaign, Sponsors. The $250 minimum is the same for every fundraiser and cannot be changed. Sponsorships are treated as donations, so you keep 90%.
Team and group fundraisers
Join codes, launch styles, subgroups, admins, and what the dashboard scores mean.
What is the difference between Participant Style and Parent Style?
Participant Style is for groups whose members have their own phone and can enter contacts themselves: high school and middle school teams, bands, clubs, travel teams, adult groups. Each member joins with your participant join code, builds their own page, and sends invites.
Parent Style is for groups whose members are too young to do that: elementary schools, youth sports, and little leagues. Parents get the invite, create one account, add their kid or kids as participants, and send the invites on their behalf.
You choose the style during setup and it cannot be changed afterward, so if you are unsure, ask: can every participant reliably enter 20 contacts from their own phone? If not, choose Parent Style.
How do participants join my fundraiser?
Four ways, all from the Invite Participants button on your dashboard: send email invites, send text invites, copy a ready-made message for your team app (GroupMe, TeamSnap, Band, etc.), or copy your join link. Participants can also go to My Account and enter your 8-digit participant join code, or scan the QR code on your printed flyer.
Each participant creates a login with their real name and email, uploads a profile picture, picks a subgroup if you have set them up, and goes through the Invite Wizard.
What is the admin join code and who should have it?
The admin join code (click to reveal it on your dashboard) gives someone full control of the fundraiser, so share it only with assistant coaches, co-chairs, or a treasurer. If a participant joins with the admin code by mistake, open Admins on your dashboard and click Convert to participant next to their name.
What are subgroups and when should I use them?
Subgroups let participants choose a team, grade, class, or position group when they join (Varsity and JV, 3rd Grade and 4th Grade, Team Blue and Team Red). Add them under Edit Campaign, Subgroups, before anyone joins. They make friendly competition easy and let you see which group is pulling its weight.
What do the dashboard scores mean?
- Participation Score is the share of participants who have entered at least 20 contacts or raised $500. Aim for 50% or higher; it is the single best predictor of how much you will raise.
- Contact Quality Score measures how many of the entered emails and phone numbers are real and deliverable. Low scores usually mean typos or made-up addresses; ask participants to re-check.
- Participants with at least 1 donation shows what share of your roster has at least one supporter. Push toward 100%: a participant with zero supporters almost always has zero contacts entered.
The participant table under the scores shows each person's profile picture status, parent shares, emails and phone numbers collected, social shares, bags sold, supporters, and total raised. Sort by any column to see who needs a nudge.
Can a parent manage more than one child?
Yes. In a Parent Style fundraiser, one parent account can add up to five children. Supporters who order through that family's page have their purchase credited equally across the kids on the account.
Can I remove a participant?
A participant who has not yet received a sale can be removed from the participant list. Once they have a supporter, they stay on the roster so that supporter's purchase is always credited correctly. Email support@pop-paradise.com if you need help.
How do supporters know which participant to credit?
Every invite a participant sends links to their personal page, so orders from that link credit them automatically. Supporters who arrive through the group link or a QR flyer pick a participant from a dropdown at checkout.
Can I invite supporters myself as the organizer?
Yes. The Invite Wizard on your dashboard works for admins too, with no limit on the number of emails, and your QR Flyer and Copy Link go to the group page. Organizer invites are great for boosters, alumni, and the school community, but the participants' own invites to their families are what drive most of the money.
Inviting supporters
The Invite Wizard, who to invite, and the reminders PopParadise sends for you.
How do I get the word out?
Through the Invite Wizard on your dashboard. It walks you through three channels in order: email (import from your address book or paste addresses), text (paste cell numbers), and social (one-click Facebook and X, a copy link for Instagram, Snapchat, and group chats). Every message goes out with your name, your photo, and a link to your personal page, so the people you know see it is really you.
How many people should I invite?
At least 20, and more is better. Think of it like a wedding guest list: grandparents, aunts and uncles, cousins, godparents, your parents' coworkers and friends, neighbors, former coaches and teachers, your family's dentist or realtor, alumni, church friends. The one rule: only invite people who know you. Do not send to strangers, teachers at your school, or teammates who are already in the fundraiser.
Does email or text work better?
Both, together. Texts get opened almost instantly and drive most of the first 72 hours; emails carry your photo and story and get automatic reminders. The best move is to send the email first, then text the same person: "Hey Uncle Bob, just sent you an email about my popcorn fundraiser. Check it out!"
Does PopParadise send reminders for me?
Yes. Everyone you invited who has not ordered yet gets automatic reminder emails with 14, 7, and 2 days left and reminder texts with 10 and 4 days left, each one from you with your photo and link. Reminders stop the moment someone orders. In Parent Style fundraisers, parents who have not joined yet get an automatic email and text 2 days after they were invited, and another email 7 days after. Every supporter gets an emailed receipt the moment they order, and that receipt doubles as their thank-you from you.
Can I re-send to someone or send more invites later?
Yes. Log in anytime, open your fundraiser, and go back through the Invite Wizard. The Previously Sent lists show who you have already reached so you do not double up. Adding a second wave of contacts mid-fundraiser is the fastest way to restart momentum.
What is the QR Flyer?
A printable PDF with your fundraiser name and a QR code that opens your page. Hand it out, hang it at practice, put it on the scoreboard, tape it to a lunchroom table, or screenshot it and share it phone-to-phone. Participants in a team fundraiser each have their own QR flyer so door-to-door and in-person asks credit the right person.
What should my video say?
Keep it to 15 seconds, shot in landscape on your phone: who you are, what you are raising money for, "please help us reach our goal by grabbing some popcorn below," and a thank-you. Upload it under Edit Campaign, Media, or paste a YouTube or Vimeo link. Fundraisers with a video raise about 25% more than those without.
Will my contacts' information be shared or sold?
No. Emails and phone numbers entered into PopParadise are used only to send invites and reminders for your fundraiser. They are never sold or shared, and anyone can reply STOP to a text or click unsubscribe in an email.
Can supporters share my fundraiser with their friends?
Yes, and about one in four do. Every fundraiser page has a Share this Fundraiser section with email, Facebook, and copy-link options, so a happy supporter can pass your page along.
For supporters: ordering, shipping, and returns
How to buy, when it arrives, and what to do if something goes wrong.
How do I support a fundraiser?
Open the link you were sent (or scan the QR code), pick your popcorn from the store on that page, and check out. If the page belongs to a team, choose the participant you want to credit if they are not already selected. You can leave a message of encouragement that shows on the supporter wall, or check Stay Anonymous to hide your name.
How much is shipping?
Shipping is calculated at checkout based on the size of your order and your shipping zone. Larger orders are the best value, since shipping is capped: bundles like the 4 Piece Sampler, 6 Piece Variety Pack, and Mega Variety stretch both your gift and your shipping dollar.
When will my popcorn arrive?
Orders are packed within 1 to 3 business days and ship for fast turnaround, so most orders are on your doorstep within a couple of weeks of purchase. You will get an email with your order number when it is processed and another when it ships.
Where do you ship?
Anywhere in the United States and Canada. We cannot ship to P.O. boxes or APO/FPO addresses, so please use a street address. Shipments to Alaska and Hawaii take longer (about 8 days in transit); email support@pop-paradise.com before ordering for those.
Can I ship to someone else as a gift?
Yes. Enter their street address at checkout. Be sure to include the recipient's full first and last name, since carriers may return packages addressed to an incomplete name.
What if it is hot where I live?
Our popcorn is drizzled with real chocolatey coatings, so when the temperature at your address is 90 degrees or warmer we may hold your order until it cools off or offer expedited shipping. We will email you if that happens, and you can ask us to ship anyway if someone will be home to bring it inside.
Can I change or cancel my order?
Yes, as long as it has not been packed. That is usually within 24 hours of ordering. Email support@pop-paradise.com with your order number and the change you need. Because every order is packed to order, we cannot cancel or change it once preparation has begun.
My order arrived damaged, melted, or wrong. What now?
Email support@pop-paradise.com with your order number and a photo of what you received, and we will make it right with a replacement at no cost to you.
What is not covered?
We cannot refund or replace orders when the wrong quantity was selected, the address provided was incorrect or incomplete, nobody was available to receive the package, the order was re-routed after shipping, the product was mishandled after delivery, or the package was refused.
Can I get a refund?
Refunds are available only while the fundraiser is still open and your order has not been fulfilled. Once a fundraiser ends, the funds have been committed to the organization and refunds cannot be processed. Approved refunds take up to 10 business days to appear on your statement.
I did not get a receipt.
Receipts, which double as your thank-you from the fundraiser, are emailed automatically to the address entered at checkout. Check your spam or promotions folder first; if it is not there, email support@pop-paradise.com with the name on the order and the fundraiser you supported.
Why did I get an email or text about this fundraiser?
Because someone who knows you invited you. Messages come from the participant or organizer who entered your contact information, and they stop as soon as you order. Reply STOP to any text or click unsubscribe in any email to opt out.
Our popcorn
Four handcrafted flavors, sizes and bundles, allergens, and storage.
What flavors do you offer?
Four handcrafted, small-batch gourmet flavors, each one caramel corn hand-drizzled in small batches.
| Flavor | What's in the bag | Contains |
|---|---|---|
| Caramel Cashew Pop | Caramel corn, milk and dark chocolatey drizzle, roasted cashews, sea salt | Milk, soy, tree nuts (cashews) |
| Cake Pop | Caramel corn, white chocolatey frosting drizzle, vanilla cream, rainbow glitter | Milk, soy |
| Peanut Butter Pop | Caramel corn, chocolatey and peanut butter drizzle, mini peanut butter cups, roasted peanuts | Milk, soy, peanuts |
| Cookies & Cream Pop | Caramel corn, crumbled chocolate sandwich cookies, white chocolatey drizzle | Milk, soy, wheat, egg |
What sizes and bundles can supporters buy?
Each flavor comes in a 10 oz bag ($19.95), a 19 oz bag ($39.95), and a 4-pack of 10 oz bags ($74.95).
Bundles: the 4 Piece Sampler (one 10 oz bag of each flavor, $74.95), the 4 Piece Variety (one 19 oz bag of your choice plus 10 oz bags of the other three, $90), the 6 Piece Variety Pack (three 19 oz and three 10 oz bags, $150), and the Mega Variety (four 19 oz and four 10 oz bags, $200).
Is the popcorn gluten-free, nut-free, or allergen-free?
No. All four flavors are made in a facility that uses milk, soy, wheat, peanuts, and tree nuts, and shared equipment means we cannot guarantee against cross-contact. Cake Pop and Caramel Cashew Pop contain no wheat ingredients, but they are not certified gluten-free. Full ingredient lists and allergen statements for every flavor are on our Nutrition Facts page.
What are the nutrition facts?
A quarter-cup serving runs 100 to 140 calories depending on the flavor, with 3 to 7 grams of fat and 12 to 16 grams of sugar. Full panels are on the Nutrition Facts page.
How should I store it, and how long does it keep?
Keep bags sealed in a cool, dry place out of direct sun. Popcorn is at its best within a few weeks of arrival, and the chocolatey drizzles will soften above about 80 degrees, so do not leave it in a hot car or on a porch.
Can I buy the popcorn without supporting a fundraiser?
PopParadise popcorn is sold through fundraiser pages. If you do not have a link, ask the team or organization you want to support for theirs, or start your own fundraiser.
Account, troubleshooting, and support
Logins, fixes for the common hiccups, and how to reach us.
I forgot my password.
Click Forgot password on the login page and follow the emailed link. Check spam if it does not arrive within a few minutes.
I ran a fundraiser before. Do I need a new account?
No. Log in with the same email and your past fundraisers appear under Ended Fundraisers on My Account. When you launch a new one, your previous supporters can be reached again, and past supporters are your most reliable buyers.
Where do I see who has supported me?
On your dashboard, the supporter wall on the right lists every purchase and comment. Organizers can also click Run Report to download a spreadsheet of participants, supporters, and totals for your records.
An email address or phone number was rejected.
The system blocks duplicates, obvious typos, and generic addresses like info@ or support@. Double-check the spelling and make sure each person is entered only once per fundraiser.
A participant joined with the wrong code or the wrong subgroup.
Open Admins to convert an accidental admin back to a participant. For subgroup changes or merging duplicate accounts, email support@pop-paradise.com with the fundraiser ID and the participant's name.
A supporter's order was credited to the wrong participant.
Email support@pop-paradise.com with the supporter's name, the order amount, and the participant who should receive credit, and we will move it.
Can I extend or reopen my fundraiser?
Yes. Change the end date under Edit Campaign while the fundraiser is active. If it has already ended and you want to reopen it, email support@pop-paradise.com with your fundraiser ID and the new end date.
How do I delete my account?
Email support@pop-paradise.com from the address on the account. We will send a verification email and process the deletion within 48 business hours.
How do I contact PopParadise?
Email support@pop-paradise.com or use the form on our Contact page. Include your fundraiser name and ID (organizers) or your order number (supporters) so we can help fast.
Launch playbooks
The platform handles shipping, payments, and reminders. What it cannot do is invite your people. These are the steps that decide how much you raise.
Your fundraiser is live the moment you finish setup, and everything happens from your phone. The one number that decides your result is how many real people you invite through the Invite Wizard, so go through it right away and put in as many contacts as you can: at least 20 cell phone numbers, plus every email the importer can pull in.
The main steps
- Create your fundraiser. Name it, tell your story in two or three specific sentences (what you are raising money for, who it helps, what it means to you), set a goal you can raise anytime, and pick a category. The 10-day run starts on your start date.
- Add a photo of your face. Not a logo. Pages with a photo raise about 50% more because Grandma can see it is really you.
- Add a 15-second video. Landscape, on your phone: who you are, what you are raising money for, "grab some popcorn below and share this with anyone who might help," thank you. Upload it under Edit Campaign, Media, or paste a YouTube or Vimeo link.
- Go through the Invite Wizard, all three steps, right now. Email, text, social, in that order (details below). Use the email importer and put in at least 20 cell numbers.
- Save your page and flyer. Add your page to your phone's home screen and screenshot your QR Flyer so you can invite anyone you run into.
- After it ends. Your check is mailed within 2 business days. Supporters already got a thank-you with their receipt, so a personal note to your biggest supporters and a final post with the total raised are what set up your next fundraiser.
The Invite Wizard, step by step
Open it from the Invite Wizard button on your dashboard. It has three screens; Next moves you through them in order and Back returns to the menu. You can come back and run it again as often as you like, and the Previously Sent lists on each screen show who you have already reached.
Step 1: Email
- Tap Import to connect your address book (Gmail, Outlook, iCloud, Yahoo). Select everyone who knows you. This is the fastest way to get dozens of contacts in at once, and it is where most of your emails should come from.
- Or paste addresses into the box, separated by commas or one per line.
- Real people who know you only: family, family friends, your parents' coworkers, neighbors, former coaches and teachers, church friends. The system rejects duplicates and generic addresses like info@ or support@.
- Tap Send invites. Each email goes out with your photo, your story, and your link.
Step 2: Text
- Paste at least 20 cell phone numbers, separated by commas or one per line. Open your phone's Contacts, copy the numbers, and paste them here.
- Think "wedding guest list": grandparents, aunts and uncles, cousins, godparents, your parents' best friends and coworkers, neighbors, the family dentist or realtor, and the most successful adult you know.
- Tap Send text invites. Texts get opened almost instantly and drive most of the first 72 hours. Follow up with your top ten by hand: "Just sent you my popcorn fundraiser. It would mean a lot. Thank you!"
Step 3: Social
- Tap Facebook or X to post straight from the wizard.
- Tap Copy Link and paste it into an Instagram story, Snapchat, your family group chat, and your email signature.
- Tap Done. Then come back on day 3 or 4 and run the wizard again with the people you forgot.
A PopParadise team launch is remote. You set up the fundraiser, you invite every participant from your dashboard, and each of them joins and sends their own invites from their phone the same day. Your result is decided by one thing: how many participants actually join and enter 20 or more contacts.
Step 1: Set up the fundraiser (10 minutes)
- Click Get Started, choose Team or Group Fundraiser, then Participant Style. Search for your organization by state, or add it if it is not listed.
- Name it so supporters recognize it ("Lincoln Lions Girls Soccer Fundraiser 2026") and write two or three specific sentences about what the money buys.
- Set a group goal of about $200 per participant (25 players = $5,000). Individual starting goals rise automatically as kids pass them.
- Upload your team logo or photo and a 15-second video of the team saying why you are raising money. Fundraisers with a video raise about 25% more.
- Add subgroups under Edit Campaign, Subgroups (Varsity and JV, position groups, grades) before anyone joins. Competition between subgroups is free motivation.
- Enter the payee name and mailing address for your check.
Step 2: Invite every participant (the most important step)
Open Invite Participants on your dashboard and use every channel the same day:
- Email. Paste every participant email you have. Each person gets an invite with your team logo and a Join button.
- Text. Paste every participant cell number. Texts get opened within minutes.
- Team or group app. Copy the ready-made invitation and post it in GroupMe, TeamSnap, Band, or your team chat.
- Copy invite link. Paste your join link anywhere else your team communicates.
Invite the whole roster, not just the players you think will do it. A participant who was never invited raises $0. Pair every invite with a short note of your own: "Everyone needs to join tonight and enter 20 contacts. We are tracking it." Set a deadline (tonight, or 24 hours) and name a reward for the subgroup with the highest participation.
Step 3: What each participant does on their phone (5 minutes)
- Taps the link in their email or text (or enters your 8-digit participant join code under Join a Fundraiser on My Account).
- Creates a login with their real name and email and uploads a profile picture of their face. Profiles with pictures raise about 50% more.
- Picks their subgroup.
- Sends the parent share to Mom and to Dad so parents can add contacts too.
- Goes through the Invite Wizard: imports emails from their address book, pastes at least 20 cell numbers, and posts to social media. Real people who know them only: grandparents, aunts and uncles, family friends, parents' coworkers, neighbors, former coaches.
The printed instructions (Print Instructions on your dashboard) walk them through exactly this, so send them along with your invite.
Step 4: Drive participation from your dashboard
- Check the Registered Participants table the morning after you invite. Anyone not on it did not join; re-send their invite and message them directly.
- Participation Score is the number that matters. Push it past 50% by calling out, in the team chat, everyone still under 20 contacts: "Go sit with your parents tonight and enter 20 quality emails."
- Reward sharing, not dollars raised: candy for the first text sent, pizza for the top subgroup, lighter conditioning if the whole team hits the standard. Budget about 1% of your goal.
- Mid-fundraiser, ask everyone for 10 new contacts. Second waves restart momentum.
- Print the QR Flyer for the booster club, the concession stand, and the scoreboard. Ask local businesses to sponsor; sponsorships start at $250 and put their logo on your page.
- Reminders are automatic: invited supporters who have not ordered get emails at 14, 7, and 2 days left and texts at 10 and 4 days left, so your job is new contacts, not re-sends.
Step 5: Wrap up
Post the final total and the gap you closed in the team chat, thank the parents, and book next year's date while everyone is happy. Your check is mailed within 2 business days to the address on the fundraiser.
Optional: launching in person
If you can get the whole team in one room with their phones, do Steps 2 and 3 live. Put your dashboard on a screen, show the participant join code or the QR Flyer, and have everyone join, upload a photo, send the parent share, and go through the Invite Wizard together. Walk the room and help stragglers. Before anyone leaves, refresh the dashboard and read out anyone under 20 contacts or without a photo. Twenty minutes in a room is the single highest-participation launch there is; the remote steps above still work for anyone who missed it.
Use Parent Style when your participants are too young to run their own phone: elementary schools, PTO and PTA drives, youth sports, little leagues, dance and gymnastics clubs. The launch is remote. You set up the fundraiser, you invite every parent from your dashboard, and each parent joins, adds their child, and sends invites from their own phone. The number of parents you invite is the ceiling on your result, and the number who actually join is the result.
Step 1: Set up the fundraiser (10 minutes)
- Click Get Started, choose Team or Group Fundraiser, then Parent Style. Search for your organization by state, or add it if it is not listed.
- Name it so families recognize it and write two or three specific sentences about what the money buys ("new playground equipment," "spring tournament travel").
- Set a group goal of about $200 per participant.
- Upload a logo or group photo and a 15-second video. For a school, the principal and a handful of kids saying what the money buys is perfect.
- If you have multiple teams, classes, or grades, add each one as a subgroup under Edit Campaign, Subgroups, so parents pick the right one when they join.
- Enter the payee name and mailing address for your check.
Step 2: Invite every parent (the most important step)
Collect every parent email and cell number you can from your school office, registration list, ClassDojo, or TeamSnap, then open Invite Participants on your dashboard and use every channel the same day:
- Email. Paste every parent email. Each one gets an invite with your logo and a Join button.
- Text. Paste every parent cell number.
- Team or group app. Copy the ready-made invitation and post it in your class list, team app, or parent Facebook group.
- Copy invite link. Paste your join link into the school newsletter, the marquee, or the weekly all-call.
Parents who have not joined get an automatic email and text 2 days after you invite them, and another email 7 days after. Add your own push: a note from the principal, coach, or PTA chair with a deadline ("please join tonight") and the prize program. For schools, send the kids home the same day with the printed instructions and something that says "Ask me about my fundraiser," so the message survives the bus ride.
Step 3: What each parent does on their phone (5 minutes)
- Taps the link in their email or text (or enters your 8-digit participant join code under Join a Fundraiser on My Account).
- Creates one login with their name and email.
- Adds their child, or up to five children, and uploads the child's picture (one photo of all of them works). Picks the team, class, or grade.
- Goes through the Invite Wizard: imports emails from their address book, pastes at least 20 cell numbers, and posts to social media. Grandparents, aunts and uncles, neighbors, coworkers, friends.
The line that works with parents: "We don't want your money. We want you to open your contacts, because you know more people than your kid does."
Step 4: Drive participation from your dashboard
- The morning after you invite, check the Registered Participants table. Re-send to every family that has not joined and ask teachers or team managers to nudge them.
- Prizes are not optional for elementary and youth groups. Reward joining and sharing first: a ticket in the candy drawing for joining and sending 10 invites, free recess at $50, lunch with the principal at $150, a party for the top class or team. Plan on 3% to 8% of your total; prizes come out of your proceeds and pay for themselves.
- Post a weekly update with the total and the top class or team. Praise publicly, nudge privately. A class with zero participation usually means the invite never reached those parents.
- Print the QR Flyer for the front office and pickup line. Ask local businesses to sponsor; sponsorships start at $250 and put their logo on your page.
- Reminders are automatic: invited supporters who have not ordered get emails at 14, 7, and 2 days left and texts at 10 and 4 days left.
Step 5: Wrap up
Announce the final total at an assembly, practice, or in the weekly blast, hand out prizes within a week, and put next year's date on the calendar while every parent who joined is still in the system. Your check is mailed within 2 business days to the address on the fundraiser.
Optional: launching in person
If you can gather parents at a practice, a back-to-school night, or a pickup, do Steps 2 and 3 live. Show the participant join code or the QR Flyer, have every parent join, add their child, and send at least 10 texts on the spot while you walk around and help. For schools, pair it with a short kid-side kickoff (an assembly or classroom visit, 30 seconds on "the why," show the prizes, send the instructions home) so the kids bug their parents that night.
